General Questions

As a program director, there has been a change in my contact information such as my email or information relating to my program such as program director, program status, or program address. Who do I contact with these changes?
 
If any of your program information changes, such as your email address, program status, program director or address, please notify Sonja Bugvilionis at Sonja.Bugvilionis@ascp.org as soon as possible. If the changes are regarding an international program, please notify Angela Sreckovic at Angela.Sreckovic@ascp.org.
As a program director, I want to inform my students of any scholarships available to them. Does the ASCP offer any such scholarships?
Yes, the ASCP offers scholarships to students in their final clinical year of study. All scholarships are given annually and based on academic achievement, leadership abilities, community activities, professional goals, and endorsements from faculty and community leaders. Where can I find more information about the CAT scoring process?
All examination scores are reported in scaled score. A scaled score is statistically derived (in part) from the raw score (number of correctly answered questions) and the difficulty level of the questions. Because each examinee has taken a different form of the examination, scaled scores are used so that tests may be compared on the same scale. The minimum passing score is 400. The highest attainable score is 999.

Questions about Record Release Report

What is the Record Release Report (RRR)?
The Record Release Report, a free subscription, is how the ASCP verifies that a particular applicant has completed a school program. Through the RRR, program directors are able to either sign off on students who have completed their programs or notify the ASCP that a particular student has not completed their school program. If a program director signs off on their student, it allows the student to sit for their respective certification exam provided all other necessary forms and fees have been completed.
How do I access the Record Release Report?
Typically, program directors are contacted via an email from Bernie Olson, which prompts the program directors that students are waiting to be signed off. The RRR is available.  Simply go back to this page and click on RRR & PPR.
There, you will need to type in the following information: your school number (assigned by the ASCP BOC), your program category, and your password (assigned by the ASCP BOC).

Once you log in, the Record Release Report is located on the bottom half of the screen and you will have to click on the direct link where a date appears in order to directly access the RRR. For example, the link will read Click Here to view Release posted on January 4th, 2010.
How often is the Record Release Report updated?
The RRR is updated weekly, usually at the beginning of the week. Once you log in, you can check the date it was last updated on the Electronic Program Performance Report and Record Release Report webpage.
How is my School Code Number assigned to me?
When NAACLS notifies our office (via the post) that your school has reached “Serious” Status, a school code number is created for your program by the Board of Certification. You are sent a packet containing your school code number, an example of a Program Performance Report (PPR) and the "Procedures for Examination and Certification".
What if I have lost or forgotten my password?
If you have lost or forgotten your password, then you will need to contact Sonja Bugvilionis at Sonja.Bugvilionis@ascp.org or call 312-541-4959.
What if I do not see a particular student listed or I do not recognize a particular student’s name on my Record Release Report?
You should notify the BOC immediately by email (see list of contacts above) or by FAX at 312-541-4845 to that we may cancel the individuals testing appointment..
What if one of my students fails to complete the program or will not complete the academic requirements after I have signed off on the Record Release Report?
In either case, you will need to directly contact the particular ASCP BOC Evaluator, who processes the certification applications for various certification categories. For your particular program category, please see the list below:

Questions about Program Performance Report

What is the Program Performance Report (PPR)?
The Program Performance Report, PPR, a subscription costing annually $95 in 2011 and $125 in 2012, allows program directors to access and print your students’ certification examination scores online. Program and national scaled score comparisons and sub-content area mean scaled scores are also available. You can access this information from the last six years (excluding Cytogenetics). This access is available throughout the calendar year.

The PPR is only available to the following program categories: Cytogenetics (CG), Cytotechnology (CT), Medical Laboratory Scientist (MLS), Medical Laboratory Technician (MLT), Histologic Technician (HT), Histotechnologist (HTL), Phlebotomy Technician (PBT), Molecular Biology (MB), Pathologists' Assistants (PA) and Specialist in Blood Banking (SBB).
How do I access the Program Performance Report?
The PPR is accessed here at the following website: Program Performance Report. Here you will need to type in the following information: your school number (assigned by the ASCP BOC), your program category, and your password (assigned by the ASCP BOC). Once you log in, the PPR is located on the top portion of the screen. There you can view the PPR for either the current examination cycle or cycles from previous years.
Please note: Access to the current PPR is only permitted if you have paid for the current year’s subscription. Also, by gaining access to the 2010 PPR, you can also access all archived PPR’s from previous years.

What if I cannot access my current Program Performance Report because I have not paid for the current year’s subscription?
If you have not paid for access to the current year’s PPR, then you will need to first obtain an invoice and then submit payment either by direct mail or fax as soon as possible. Invoices can be obtained by contacting Sonja Bugvilionis at Sonja.Bugvilionis@ascp.org or calling 312-541-4959.

Please be mindful that we do not accept purchase orders. Only checks and credit cards are considered to be acceptable tender.
When are invoices distributed to program directors?
Invoices for access to the 2012 PPR were distributed via email directly to program directors in mid-September 2011.

2012 PPR invoices are due December 31, 2011. However, payments can be submitted at any time for access to the 2012 PPR.
I am the program director of a Histotechnician (HT) program. However, I received two different PPR invoices: one for a HT program and another for a HTL program. Why did I receive a Histotechnologist (HTL) invoice when my school does not even have a HTL program?
 
Under the eligibility routes for the HTL(ASCP) certification examination, an applicant could have completed a Histotechnician (HT) program and be deemed eligible to sit for the HTL exam. Therefore, the students that graduate from your HT program can sit for the HTL exam.

As a HT program director, in order to see those students’ scores who took the HTL exam, you must pay for access to the current year’s PPR for both the HT and HTL programs.
What if I do not see a particular student’s scores listed or I do not recognize a particular student’s name on my Program Performance Report?
It is important to note that applicants have the right to either choose to release their scores for program director access or to decline to release their scores. If a student chooses to decline to release their scores, then their individual scores for the certification examination will NOT be listed in the PPR. However, their scores will be included in the collective averages for the program’s performance during a particular examination cycle.
